Senior Export Customer Service Executive
LOCATION & REPORT
· Job Title: Senior Export Customer Service Executive
· Site: Vietnam - Location: Head office in Ho Chi Minh City
· Reporting to: Customer Service Manager
JOB SCOPE & CORE DELIVERABLES
He/ She will be responsible for the whole order process from the order to delivery, taking care a part of export task and procedures for our distributors and subsidiaries – including markets: CN/IN/VN/TW/HK.
Her/His good collaboration attributes, cooperating with all functions of the organization as well as external partners will ensure the best service level for customers’ experience.
In front line with the customer, she/he will also handle and manage any claim or other requests.
PERIMETERS OF THE JOB

RESPONSIBILITIES – WHAT DOES SUCCESS LOOK LIKE?
Key actor in order & export tasks and procedures, as well as strong collaboration with related internal and external parties.
1. OTC process
a. Order processing
- Follow up with customer to take the orders and input into system
- Tracking & following up stock availability to ensure orders fulfilled
- Tracking and managing with customers any deviations between Forecast and Orders
- Informing customers in case of delays/shortage/Short Shelf life
b. Documentary
- Process shipping docs CO and HC in website of export country
- Collect and check the accuracy of shipping docs (including HC, COO, COA, …)
- Following up the deadline of shipping docs
- Ensure all the docs to be sent to customers on time in full
c. Delivery schedule
- Ensure the loading/ ETD/ ETA to be updated and proceeded on time
- Align with CS coordinator to keep tracking the delivery schedule
- Keep informing the customers when there is any changes happened.
d. Claim and complaint handling
- Receiving claims/ requests from customers, collecting information
- Working internally to answer customer claim in earliest delay
- Following up the whole process of claims until it’s closed and inform to customers
2. Master data
- Ensuring customer data accuracy, creation and updated
- Follow up the setting for new products (master data set up, price maintenance, …)
3. Reporting
- Shipment planning report
- Customer service level
- Collect data and update weekly issue tracking report
- Monthly report to catch up with customer
SKILLS & EXPERIENCE REQUIREMENTS
1. Knowledge And Experience Requirements
- Bachelor's degree in logistics, supply chain management, business administration, or a related field.
- 4-5 years’ experience with Export Sales administration in FMCG company is preferred.
- Experience in Import/Export procedures is preferred
- Pack office: Excel, Word, Presentation
- Experience with sales & management software/modules: SAP SD
- Sales administration skills with customer & sales data management
- Good skills in both writing and oral communication + ENGLISH
