About the Role
We are seeking a highly organized and detail-oriented Executive Assistant to support our client, a leading Retail Tech company. This role is based in District 2, Ho Chi Minh City, and requires an individual with excellent communication skills and a proactive approach to administrative tasks. The ideal candidate will have up to 4 years of experience in a similar role, with a strong focus on HR administration and client relations. You will be responsible for providing comprehensive support to the executive team, managing schedules, coordinating travel arrangements, and assisting with HR-related tasks. Key Responsibilities
- Manage executive schedules, including arranging meetings, appointments, and travel itineraries.
- Provide administrative support to the HR department, including maintaining employee records, assisting with onboarding processes, and processing HR-related paperwork.
- Act as a point of contact for internal and external stakeholders, including clients, employees, and vendors.
- Prepare correspondence, reports, and presentations, ensuring accuracy and attention to detail.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation.
- Organize and maintain office files and records, both physical and electronic.
- Assist with event planning and coordination, including conferences, meetings, and company events.
- Handle confidential information with discretion and maintain a high level of professionalism.
- Manage office supplies and equipment, ensuring that the office is well-maintained and organized.
- Support the executive team with ad-hoc projects and tasks as needed.
Required Skills & Qualifications
- Bachelor's degree in Business Administration or a related field preferred.
- Up to 3 years of experience as an Executive Assistant or in a similar administrative role.
- Excellent written and verbal English communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent interpersonal and communication skills.
- Ability to work independently and as part of a team.
- Strong attention to detail and accuracy.
- Experience with HR administrative tasks is a plus.
